How Much Does an AI Appointment Setter Cost in 2026?

AI appointment setters range from free to $1,000+ a month. Here's what actually drives the price, how AI usage costs work per conversation, the pricing models you'll run into, and the hidden costs to watch for.

Most AI appointment setters cost between $0 and $300 a month for the software, plus AI usage that usually works out to a few cents to around 20 cents per conversation. Done-for-you and enterprise tools can run $500 to $1,000+ a month. The price you actually pay depends less on the sticker and more on how each tool charges: per seat, per message, per lead, per conversation or a flat fee.

I've compared a lot of pricing pages while building ReplySetter, and the differences are bigger than they look. Here's how to make sense of them.

The pricing models you'll see

AI setter tools charge in five main ways. Each one suits a different situation.

1. Flat monthly fee

You pay a fixed amount per month for a set number of agents or inboxes. Predictable, and the best value at higher volumes. Many tools aimed at agencies use this.

2. Per message or per AI response

You pay for each message the AI sends, either as credits or a metered rate. Cheap at low volume, but a busy account can get expensive fast, and it quietly penalises follow-ups, which are exactly what you want the AI doing.

3. Per lead or per conversation

You pay for each lead the AI talks to, regardless of how many messages. Easy to understand, but it makes reactivating big old lists costly.

4. Per account or per channel

A flat price for each Instagram account, phone number or inbox. Fine if you have one, adds up for agencies.

5. Bring your own AI key

You pay the platform for the software and pay the AI provider (Anthropic, OpenAI, OpenRouter) directly for usage, at their price with no markup. This is how ReplySetter works. It's the cheapest option at volume, and you can see exactly what each conversation costs.

What real price ranges look like

From the public pricing pages I've reviewed for our comparison pages, roughly:

Type of toolTypical price
DM automation with AI add-onFree to ~$50/month, AI extra
Instagram-only AI setters~$100–$300/month per account
Per-message AI settersA few cents per message, or bundles like $99 for ~1,000 messages
GoHighLevel-focused setters~$97–$297/month plus your GoHighLevel plan
Done-for-you high-ticket setters~$300–$1,000/month, sometimes with onboarding fees
Enterprise AI SDRs$500+/month, often custom quotes
BYO-key platforms like ReplySetterFree, $97 or $297/month plus AI usage at cost

Prices change often, so treat this as a map and check each vendor's current page.

How much does the AI itself cost per conversation?

This is the part people get wrong, so let me show how I estimate it.

An AI setter conversation is a series of model calls. For each reply, the model reads the instructions, relevant knowledge base snippets and the conversation so far (the input) and writes a reply (the output). Providers charge per million tokens; a token is roughly three-quarters of a word.

A typical setter reply might use around 3,000–6,000 input tokens and 150–300 output tokens. A conversation that books a call might take 6–12 replies, including follow-ups.

Rough examples:

  • A small, fast model (the "mini" or "Haiku" class): usually well under 5 cents per conversation.
  • A mid-tier model (the "Sonnet" or standard GPT class): often 5–20 cents per conversation.
  • A top reasoning model on every step: can run higher, sometimes 30 cents or more.

Two things bring that down a lot:

  • Prompt caching. The instructions and knowledge stay the same between replies, so providers charge a fraction for re-reading them. ReplySetter turns caching on by default.
  • Using the right model per step. A cheap model for routing and confirmations, a better one for objections. I explain this in the best AI model for sales conversations.

Even at 20 cents, a booked call for under a dollar of AI is a bargain compared to what most businesses pay per lead.

Hidden costs to watch for

When I compare tools, these are the costs that don't appear in the headline price:

  • The CRM you have to be on. Many setters only work inside GoHighLevel, so you pay for that too.
  • Markup on AI usage. Credits that cost more than the underlying model.
  • Message caps. A plan that "includes 1,000 responses" can run out mid-month after a busy campaign.
  • Per-account fees for agencies. Ten clients at $100 per account is $1,000/month.
  • Onboarding fees for done-for-you setups.
  • Your time. A tool you can't debug costs hours when something goes wrong. Being able to see why the AI said something matters more than people think.

What ReplySetter costs

To be transparent about my own product:

  • Free: $0, 1 agent, 1 inbox (Gmail, Outlook or website chat), suggest and draft modes, knowledge base, test sandbox.
  • Basic: $97/month, 5 agents, 5 inboxes, all channels including GoHighLevel SMS, WhatsApp, Instagram and Facebook, HubSpot, Instantly and SmartLead, full auto, booking, CRM actions, follow-ups, A/B tests.
  • Agency: $297/month, 50 agents, 25 inboxes, 100,000 AI replies a month, multi-sub-account GoHighLevel, client workspaces, MCP server.

On every plan you bring your own AI key, so AI usage is billed by your provider at cost. Full details are on the pricing page.

How to choose based on your volume

  • Under 100 conversations a month: almost anything works. Pick the tool with the best setup and visibility, and a free tier to test.
  • 100–2,000 conversations a month: per-message and per-lead pricing start to sting. Flat fee plus BYO key is usually cheapest.
  • Agency with many clients: avoid per-account pricing. Look for one plan that covers many clients.

Frequently asked questions

Is there a free AI appointment setter?

Yes. Several tools have free tiers. ReplySetter's Free plan has no time limit and needs no card. You only pay your AI provider for usage, often a few dollars a month at low volume.

Why do some AI setters charge per message?

It ties their price to their AI costs. The downside is that it makes follow-ups and long conversations more expensive for you.

Do I need to pay for GoHighLevel to use an AI setter?

Only if the setter works through GoHighLevel. Some, including ReplySetter, also work directly with Gmail, Outlook, website chat, HubSpot and cold email tools.

How much is an AI setter compared to a human setter?

A human setter usually costs a salary or commission on every deal. An AI setter costs a monthly fee plus cents per conversation. See AI vs human appointment setter.

What is "bring your own key"?

You create an account with an AI provider like Anthropic, OpenAI or OpenRouter, paste the API key into the setter, and pay that provider directly for usage, with no markup.
