The Calendly AI agent that books the meeting, not just sends the link
"Here's my Calendly" is where a lot of meetings go to die. ReplySetter's Calendly AI agent answers leads in your email, Instagram DMs, WhatsApp and website chat, checks real availability on your Calendly event types, offers specific times and books the one they pick, then reschedules, cancels and wins back no-shows in the same conversation.
- Books into your own Calendly
- Any inbox
- Approvals until you trust it
What is a Calendly AI agent?
An AI agent that books in Calendly, not just shares your link
A Calendly AI agent is an AI assistant connected to your Calendly account that schedules meetings as part of a conversation. When a lead asks for a call, it looks up the free times on the right event type, offers a few, and books the one they choose through Calendly's API, so Calendly sends the invite, the video link and your usual reminders.
Sending a Calendly link asks the lead to stop what they're doing, open a page and pick a time later. The agent does it for them while they're still in the conversation, which is when they're most likely to say yes.
Works with how you use Calendly
Personal event types, team round-robin and collective events, and the invitee questions on your booking form all work. The agent books the event type you tag in its instructions, asks required questions in the chat, and when a lead would rather choose a time themselves, sends a single-use Calendly link filled in with their name and email.
Booking through Calendly's API needs a paid Calendly plan (Standard or above). On the free plan, the agent can still share booking links.
From every inbox, not just your website
ReplySetter connects Gmail, Outlook and IMAP mailboxes, GoHighLevel's SMS, WhatsApp, Instagram and Facebook conversations, HubSpot's live chat, Messenger and email, SmartLead and Instantly replies, and its own website chat. One Calendly AI agent books from all of them.
Calendly sends invites by email, so in DMs and texts the agent asks for the lead's email before booking, and reads it back if it looks mistyped.
Why “here’s my Calendly link” loses meetings
A booking link asks the lead to come back later. Here’s what usually happens, and what changes when an agent books in the conversation.
A lead asks for a call
In a reply to your email, a DM after a post, or your website chat.
They get "here's my Calendly"
A link to a page, to open later, on another tab.
Later doesn't come
Their day fills up, the tab gets closed, and the thread goes quiet.
No meeting
The lead didn't say no. They just never picked a time.
The first concrete time wins
Leads compare options. The business that answers first with "Tuesday 10:00 or Wednesday 3:30?" usually gets the meeting.
A link is homework
Every extra page and click is a place to drop off. Booking in the conversation removes them.
Only times Calendly says are free
The agent offers real availability on the event type, so there's no back-and-forth over taken slots.
Links still have their place
When a lead prefers to choose, the agent sends a single-use Calendly link with their details filled in.

Who gets the invite
Calendly event types book from any inbox. On email, the invite goes to the sender's address. In DMs and texts, the agent asks for the email Calendly should send the invite to.
On GoHighLevel conversations, a Calendly booking can also tag the contact and move their deal to a stage you choose, and it always leaves a note on the contact.
What the Calendly AI agent can do
The booking tools every Calendly agent gets. Name them in its instructions, like Tool.Book Appointments, to say when to use them.
Check availability
Free times on the event type, grouped by day in the host's timezone, narrowed to mornings or afternoons when the lead asks.
Book the meeting
Books the agreed time with the lead's name, email, timezone and answers to the invitee questions.
Reschedule
Books the new time first, then cancels the old one, so the lead is never left without a meeting.
Cancel
Cancels only when the lead clearly asks to, or offers to reschedule first if your instructions say so.
Send a single-use link
A Calendly link that works for one booking, with the lead's name and email filled in.
Mark no-shows
Records a no-show in Calendly when you mark one in ReplySetter, and starts the recovery message.
Inside the Calendly AI agent
Connecting, staying in sync with your booking page, and measuring what actually shows up.
Every Calendly event type becomes a calendar your agent can book
Sign in with Calendly, or paste a personal access token. Your event types appear in the agent builder, including team round-robin and collective ones, with their invitee questions.
Tag an event type in a step's instructions to say when to book it, add people who should always be invited, and on GoHighLevel choose the tag and deal stage a booking should set.
- Sign in or personal access token, encrypted
- Round-robin and collective team events
- Invitee questions asked in the chat
- Always-invite guests per calendar
Bookings made on your Calendly page land in the conversation
When a lead books, reschedules or cancels on your Calendly page, or is marked a no-show, Calendly tells ReplySetter by webhook. The conversation gets a note the agent reads next turn, follow-ups stop once they've booked, and the GoHighLevel contact gets a note and tag.
So a lead who took the link and booked themselves is treated as booked everywhere, not chased with another nudge.
- Booked, rescheduled, cancelled and no-show events
- Follow-ups stop the moment they book
- Notes and tags on GoHighLevel contacts
- Webhooks on paid Calendly plans
Know which agents fill Calendly, and who shows up
The Calendar bookings report shows bookings by the agent and on the page, cancellations, no-shows and show rate, per agent and per calendar. A booking made through a link still counts for the agent, flow step and A/B variant that sent it.
Use it to find the conversation steps that book meetings people actually attend.
- Show rate per agent and calendar
- Link bookings credited to the step that sent them
- A/B test the steps that book
- Mark no-shows from Analytics
Win back Calendly no-shows automatically
When a lead misses a meeting, mark the no-show in ReplySetter (it's recorded in Calendly too) or let Calendly's event tell us. The agent then messages the lead in the conversation they came from with two or three new times on the same event type, and rebooks them when they pick one.
Cancellations made on the Calendly page can trigger the same friendly recovery, so a cancelled meeting becomes a moved one.
- Triggered by a no-show or a page cancellation
- No-show recorded in Calendly
- New times from the same event type
- In the original inbox: email, DM or text
How to set up a Calendly AI agent in 8 steps
From sign-up to an agent booking real Calendly meetings, usually in under an hour.
Sign up and connect your inboxes
Create a ReplySetter account and connect Gmail, Outlook, an IMAP mailbox, GoHighLevel (SMS, WhatsApp, Instagram, Facebook), HubSpot or the website chat.
Connect Calendly
In Settings, then Calendars, sign in with Calendly or paste a personal access token from Calendly's integrations page. Booking needs a paid Calendly plan.
Add event types to an agent
Under Booking calendars, pick the Calendly event types the agent can book: intro calls, demos, team round-robins.
Tell it when to book which
Tag event types in the instructions: "Budget confirmed: book @Calendar.Strategy call, otherwise @Calendar.Intro."
Choose how much it does alone
Start in suggest mode so every booking waits for approval, or let it book on its own once you're confident.
Turn on no-show recovery
Choose whether the agent offers new times after a no-show or a cancellation, and what it should say.
Test in the sandbox
Play the lead in a test conversation: it checks real Calendly availability without booking anything.
Go live
Assign the agent to your inboxes, then watch bookings and show rate in Analytics.
Calendly AI agent vs a Calendly link vs a human setter
Three ways a lead ends up on your calendar, and how often they actually do.
| Compared on | Calendly AI agent | Link only | Human setter |
|---|---|---|---|
| Books from email, SMS, DMs and chat | Yes, in the thread | Only if they click | Yes, when someone's free |
| Time to offer a slot | Seconds | Whenever the link is sent | Hours |
| Uses real Calendly availability | Yes | Yes | If they check |
| Handles "can we move it?" | Reschedules in the thread | Lead finds the reschedule link | Back-and-forth emails |
| Asks the invitee questions | In the conversation | On the form | Manually |
| Recovers no-shows | Offers new times automatically | No | If someone remembers |
| Works nights and weekends | Yes | Yes | No |
They work best together
Your Calendly link isn't going anywhere: the agent sends a single-use one when a lead would rather choose. But most leads don't ask for a link, they ask a question, and a question answered with three real times books far more often than one answered with a URL.
A human setter can do this, until there are too many threads or it's the weekend. The agent handles routine bookings in every inbox, with approvals on until you trust it.

Qualify, then book

- Ask two qualifying questions
- Qualified: check @Calendar.Strategy call
- Otherwise: check @Calendar.Intro call
- Offer three times and book the one they pick
- Confirm the time and video link
"Just send me your link"
Some leads prefer to pick. Make it easy and still track it.
- Send a single-use Calendly link
- Name and email filled in for them
- The booking arrives by webhook
- Follow-ups stop automatically
- It counts for the step that sent it
Recover a no-show
Rebook missed meetings while the lead still cares.
- Mark the no-show (recorded in Calendly)
- Send a short, friendly note
- Offer two new times on the same event type
- Rebook when they pick one
- Escalate after a second miss
8 ways to book more Calendly meetings, with fewer no-shows
Whatever tool you use, these habits fill calendars with meetings that actually happen.
1 Reply while they're still interested
The best moment to book is the minute someone asks. An agent that answers in seconds books meetings a person would only get to tomorrow.
2 Offer two or three specific times
"Tuesday 10:00 or Wednesday 3:30?" is easier to answer than "when suits you?". The agent checks real availability and offers concrete options.
3 Book inside the conversation
Every extra click is a chance to drop off. Booking in the thread, then sending the invite, removes the trip to a booking page.
4 Ask the form's questions in the chat
Required questions on the event type are asked naturally in the conversation, so the host still gets everything they need.
5 Confirm the time and the link in writing
Repeat the day, time and video link back in the thread. It's the confirmation people actually read.
6 Invite everyone who needs to be there
A booking with the decision-maker's colleague on it is more likely to happen and more likely to move forward.
7 Win back no-shows the same day
Missed meetings are usually timing. Offering two new times right away recovers many of them; waiting a week recovers few.
8 Measure show rate, not just bookings
A calendar full of no-shows isn't a win. Track show rate per agent, step and calendar, and tune the steps that book people who don't come.

Calendly AI agent: frequently asked questions
What is a Calendly AI agent?
An AI assistant connected to your Calendly account that books, reschedules and cancels meetings during a conversation, using real availability on your event types instead of only sending a link.
Do I need a paid Calendly plan?
Calendly only lets apps book meetings and send booking events on its paid plans, Standard and above. On the free plan, the agent can still send booking links.
How do I connect Calendly?
In Settings, then Calendars, sign in with Calendly or paste a personal access token from Calendly's integrations page. Tokens are encrypted at rest.
Which inboxes can it book from?
Gmail, Outlook and IMAP email, HubSpot conversations (live chat, Messenger, email), GoHighLevel conversations (SMS, WhatsApp, Instagram, Facebook and live chat), SmartLead and Instantly replies, and ReplySetter's website chat.
Can the agent reschedule a Calendly meeting?
Yes. Calendly has no reschedule call, so the agent books the new time first and then cancels the old one, so the lead is never left without a booking.
What if the lead is in a DM without an email?
Calendly sends the invite by email, so the agent asks for it, reads it back if it looks mistyped, then books.
Does it work with round-robin event types?
Yes. Team round-robin and collective event types can be booked, and Calendly assigns hosts as usual.
What's a single-use link?
A Calendly link that works for one booking and then expires. The agent sends one, with the lead's name and email filled in, when they'd rather pick a time themselves.
Does it know when someone books on my Calendly page?
Yes. Calendly webhooks tell ReplySetter about bookings, cancellations and no-shows, so the conversation stays current and follow-ups stop.
Can it win back no-shows?
Yes. Mark a no-show (it's recorded in Calendly too) and the agent messages the lead with new times on the same event type and rebooks them.
Will it book without my approval?
Only if you let it. In suggest mode every booking waits for approval; in auto mode it books on its own.
Which plans include it?
Cal.com and Calendly booking are on the Basic and Agency plans. You can sign up and build your agent on the free plan first.
