Calendar booking

Calendar booking, straight into Cal.com, Calendly, Google and Outlook

We support Cal.com, Calendly, Google Calendar and Microsoft 365. Connect one with one click, and every event type (or meeting you set up on a Google or Outlook calendar) becomes a calendar your agents can use. They check real availability, book the time the contact picks, invite the people they name, move or cancel it when plans change, and hear about every booking made on the page itself, from any inbox.

A contact asks for a demo by SMS; the agent asks for their email, checks a Cal.com event type (Calendly, Google Calendar and Outlook work the same), books Thursday 10:30 with a colleague as guest, and the invite goes out with a video linkSMS · Priya ShahCan we do a demo Thursdaymorning? A closer look at Calendar booking

Every event type becomes a calendar the agent can book

Sign in with Cal.com or Calendly, or paste an API key or personal access token. Your event types appear in the agent builder, team round-robin and collective ones included, and you tag them in a step's instructions to say which one to book when. Add people who should always be invited, like a sales manager, and choose what a booking does to the GoHighLevel contact.

  • Sign in (OAuth) or API keys, encrypted at rest; self-hosted Cal.com works too
  • Google Calendar and Microsoft 365: set the meeting length, working hours and notice; Meet or Teams links added
  • Personal, team, round-robin and collective event types
  • Tag calendars in prompts: “10+ seats → @Calendar.Product demo”
  • Always-invite guests, plus a tag and deal stage on GoHighLevel contacts

Bookings made on the page land in the conversation

When a contact books, moves or cancels on the booking page, or doesn't show up, the provider tells ReplySetter. The conversation gets a note the agent reads on its next turn, follow-ups stop once they're booked, the GoHighLevel contact gets a note and tag, and after a no-show or a cancellation the agent can message them with new times.

  • Booked, moved, cancelled, no-show and held, from Cal.com and Calendly webhooks
  • Follow-up nudges stop the moment they book themselves
  • No-show and cancellation recovery: the agent offers 2-3 new times
  • Mark a no-show yourself and the same recovery kicks in

See which agents fill calendars, and who actually shows up

A Calendar bookings report counts bookings by the agent and on the page, cancellations, no-shows and the show rate, per agent and per calendar. Page bookings count towards the agent, the flow step and the A/B variant that sent the link. Bookings that need the host's OK wait in Approvals, and the agent can send a single-use booking link whenever a contact would rather pick a time themselves.

  • Show rate, cancellations and no-shows per agent and calendar
  • Page bookings credited to the step and A/B variant
  • Host confirmations in Approvals: approve confirms, reject declines
  • Single-use Calendly links and pre-filled Cal.com links

FAQ

Calendar booking: common questions

Can it book straight into Google Calendar or Outlook?

Yes. Sign in with Google or Microsoft, set up the meetings agents can book (length, buffer, working hours, notice), and the agent offers real open times from your calendar and sends the contact an invitation with a Meet or Teams link.

Do I need a paid Cal.com or Calendly plan?

Cal.com works on any plan. Calendly only lets apps book (and send booking events) on its paid plans, Standard and above; on the free plan the agent can still send booking links.

Can the agent reschedule a Calendly meeting?

Yes. Calendly has no reschedule call, so the agent books the new time first and then cancels the old one, so the contact is never left without a booking.

What if the contact books on the page instead of in the chat?

The booking arrives by webhook: the conversation gets a note, follow-ups stop, and it counts as booked for the agent, the step and the A/B variant.

Does it work outside GoHighLevel?

Yes. Cal.com, Calendly, Google and Microsoft calendars book from any inbox: Gmail, Outlook, SMS, WhatsApp, cold-email replies and website chat.

Can bookings wait for my approval?

Yes. In suggest mode every booking waits in Approvals, and Cal.com event types that require confirmation wait for the host there too.
