AI Appointment Setter for Home Services: Roofing, HVAC, Solar and More

How roofing, HVAC, solar, plumbing, remodeling and cleaning companies use an AI appointment setter to answer every quote request instantly, qualify the job and book estimate visits, with a sample flow and scripts.

For home service businesses, an AI appointment setter answers every quote request, ad lead and text within seconds, asks the job questions (service, address, property type, urgency, budget), and books the estimate or service visit into the right calendar. It's the fix for the classic contractor problem: leads come in while everyone's on a roof or under a sink.

Home services is where I've seen speed to lead matter most clearly. Homeowners usually contact two or three companies and book whoever responds first with a clear next step. This is how I'd set it up with ReplySetter.

Why home service companies lose leads

  • Everyone's on jobs. The owner, the techs, sometimes even the office manager.
  • Leads cluster. Storms, heat waves, cold snaps and seasonal campaigns bring bursts.
  • Paid leads are expensive. Every unanswered one is wasted money.
  • Many are evening and weekend inquiries. When homeowners finally have time to deal with it.
  • Quotes go out and nobody follows up.

What an AI setter does

  1. Replies within seconds to forms, Facebook leads, texts and website chat.
  2. Qualifies the job: what service, the address (and whether it's in your area), property type, urgency, owner or renter, rough budget.
  3. Answers common questions: price ranges, financing, warranties, licensing, how long it takes.
  4. Books the estimate on the right estimator's calendar.
  5. Saves everything to the CRM: job type, address, notes, so the estimator arrives prepared.
  6. Follows up on estimates that didn't book, and quotes that weren't accepted.
  7. Escalates emergencies (gas smell, flooding, no heat in winter) to a person immediately.

Sample flow: roofing

Step 1, Respond. "Hi Mike, thanks for reaching out to [company]! Is this for a repair, like a leak or missing shingles, or are you thinking about a full replacement?"

Step 2, Qualify. Objectives: repair or replacement, address, active leak yes/no, insurance claim yes/no, owner yes/no. One question at a time.

Step 3, Route.

  • Active leak → urgent slot or hand off to dispatch.
  • Outside service area → polite decline with a referral if you have one.
  • Insurance claim → book inspection, explain the process.
  • Standard → book a free estimate.

Step 4, Book. "I can have our estimator out Tuesday between 9 and 11am or Wednesday between 1 and 3pm. Which works?"

Step 5, Confirm. Address, time window, estimator's name, what to expect.

Scripts for home services

Price question before the visit:

Totally fair to ask. Most [service] jobs we do land between [range], depending on [size/material/access]. The free estimate gets you an exact number, takes about 30 minutes. Want me to book one?

"Just getting quotes":

Makes sense, it's smart to compare. We can usually get out this week and the estimate is free with no obligation. Would Thursday or Friday work better?

Following up an unaccepted quote:

Hi Mike, just checking in on the quote for the roof. Any questions I can answer, or anything you'd want adjusted?

Industry-specific tips

  • HVAC: separate emergency (no heat/no cooling) from maintenance and installs. Seasonal tune-up reactivation campaigns work well.
  • Solar: qualify homeownership, roof age, electric bill and shading before booking a consultation. Avoid making savings promises the AI can't back up.
  • Plumbing: emergencies first. Water everywhere should go straight to a person.
  • Remodeling: budget and timeline matter more. Expect longer conversations and more follow-up.
  • Cleaning: quick quotes from home size and frequency, then book a walkthrough or first clean.
  • Pest control and lawn care: recurring plans; reactivate past customers each season.

How I'd set it up

With ReplySetter:

  1. Channels: SMS and Facebook through GoHighLevel, website chat, and form leads via speed-to-lead for email.
  2. Knowledge base: services, service area (zip codes or towns), price ranges, financing, warranty, licensing and insurance, FAQs.
  3. Flow: the five steps above, with a switch on job type.
  4. Calendars: each estimator's calendar, so the AI books the right person by area or service.
  5. CRM actions: save the address and job type to fields, move the deal to "Estimate booked", add a note for the estimator.
  6. Emergency scenario: hand off immediately with a high-priority alert.
  7. Test with real past leads, go live in suggest mode, then auto.

You can also run a reactivation campaign to last year's quotes that never went ahead. In my experience it's often the fastest win for a new home services setup.

Frequently asked questions

Can an AI give price estimates for jobs?

It can give ranges from the price guide you provide, and explain that the estimate visit confirms the exact price. Don't let it quote exact prices without the information to back them up.

Can it check if a lead is in my service area?

Yes. Put your service area in the knowledge base and tell the AI to check the address or zip code before booking.

Will it book into my field service software?

It books natively into GoHighLevel, Google Calendar, Microsoft 365, Calendly and Cal.com. Other tools with an API can be connected as a custom tool.

What happens with emergency calls?

Set a scenario that recognises emergencies and hands the conversation to a person immediately, with a clear message to the homeowner.

Does it work for multi-location companies?

Yes. One agent per location, or one agent that routes by address to the right location's calendar.
