How to Set Appointments From Instagram DMs (Step by Step)

A practical playbook for turning Instagram DMs into booked calls, from where the DMs come from to the opener, qualification, booking and follow-up, plus how to automate it with an AI setter without risking your account.

To set appointments from Instagram DMs, you need four things: a steady source of DMs, a conversation that qualifies without feeling like an interrogation, a fast way to book a time inside the chat, and consistent follow-up. Most accounts get the first one right and lose most of the value in the other three.

I've spent a lot of time looking at real Instagram DM threads for coaches, agencies and service businesses while building the AI DM setter in ReplySetter. This is the playbook I'd follow, whether a person or an AI does the typing.

Step 1: Make sure DMs are coming in

You can't set appointments from an empty inbox. The DM sources that work best:

  • Comment-to-DM triggers. "Comment PLAN and I'll send you my 30-day plan." Tools like ManyChat deliver the freebie automatically. The conversation after it is where booking happens.
  • Story replies. Polls and question stickers invite low-effort replies you can turn into conversations.
  • Click-to-message ads. Ads that open a DM instead of a landing page.
  • Profile CTA. "DM me 'START' to get on a call" in your bio.
  • Outbound to engaged followers. Messaging people who liked, commented or followed recently (manually and within reason).

Step 2: Open the conversation like a person

The first reply sets the tone. What I've seen work:

  • Reference what they did. "Saw you grabbed the meal plan, what made you want it?"
  • Ask one easy question. Not three.
  • Keep it short. One or two lines.
  • Don't pitch yet.

Bad opener: "Hi! Thanks for reaching out! I'd love to tell you about my 12-week transformation program. When would be a good time for a call?"

Better opener: "Hey Sarah! Glad the plan was useful. Are you mainly trying to lose weight or build strength right now?"

Step 3: Qualify through conversation

You need to know if this person is a fit before giving them a slot. The usual things to find out:

  1. Their goal. What do they want?
  2. Their current situation. What have they tried? What's in the way?
  3. Urgency. Why now?
  4. Ability to invest. Can they afford the offer?
  5. Commitment. Are they ready to do something about it?

Ask these one at a time, react to each answer, and share a small insight occasionally so it feels like a conversation. I go deeper in how to qualify leads in DMs.

Step 4: Transition to the call

Once they're qualified, connect their problem to the call:

"Honestly, based on what you said about the late-night snacking and the shift work, that's exactly what we fix in the first two weeks. Want to jump on a quick call so I can map out what that'd look like for you?"

Then make booking easy.

Step 5: Book inside the chat

There are two ways to book:

  • Send a booking link. Simple, but every extra click loses people.
  • Offer times in the chat. "I've got Tuesday at 4pm or Wednesday at 11am, which suits?" Then book it for them.

In my testing, offering two specific times in the chat converts better than a link, because the lead never has to leave Instagram. An AI setter can check your calendar and do this automatically. ReplySetter supports Google Calendar, Microsoft 365, Calendly and Cal.com, and books the slot the lead picks. See calendar booking.

Step 6: Confirm and reduce no-shows

After booking:

  • Send a confirmation with the time in their timezone and the link.
  • Ask them to reply "yes" to confirm, which creates commitment.
  • Remind them the day before and an hour before.

More in how to reduce no-shows.

Step 7: Follow up with everyone who went quiet

Most DM conversations stall. People get distracted. A polite follow-up sequence recovers a meaningful share of them:

  • A few hours later: a light nudge.
  • The next day: something useful (a tip, a result).
  • A few days later: an easy yes/no question.

Remember Instagram's 24-hour window: you can message freely within 24 hours of their last message. After that, Meta's rules limit what you can send through the API (a human agent tag allows up to 7 days for genuine human replies). That's another reason fast replies and same-day follow-ups matter. I wrote a full post on following up with leads who ghost you.

Automating Instagram DM setting with AI

Doing all of this by hand works at 20 DMs a day. It breaks at 200. That's where an AI DM setter comes in.

How I set it up in ReplySetter:

  1. Connect Instagram through GoHighLevel, which uses Meta's official API (no logging in with your password, no browser bots).
  2. Add your offer to the knowledge base: what it is, who it's for, results, price approach, FAQs, objections.
  3. Build the flow: opener → qualify → handle objections → book → confirm.
  4. Write the character: your tone, short messages, emoji rules, words to avoid.
  5. Test with real DMs pasted into the sandbox.
  6. Go live in suggest mode and approve replies for a few days.
  7. Switch to auto and review a sample of conversations each week.

The thing that made the biggest difference for me was being able to open any reply and see exactly why the AI said it, which step it was on and what it looked up. When something's off, you fix the instruction instead of guessing.

Common mistakes I see

  • Pitching in the first message.
  • Asking three questions at once.
  • Sending a booking link before the person is qualified.
  • No follow-up.
  • Using unofficial automation that logs into your account. It can get your account restricted.
  • Sounding like a bot. See automating Instagram DMs without sounding like a bot.

Frequently asked questions

How many DMs does it take to book one call?

It varies a lot by offer and audience. Track conversations started, qualified and booked for a few weeks to find your own ratio, then improve one step at a time.

Should I send a Calendly link in DMs?

You can, but offering two specific times in the chat usually converts better. If you send a link, send it only after the person is qualified and interested.

Can I automate Instagram DMs safely?

Yes, through Meta's official API, which tools like GoHighLevel use. Avoid tools that ask for your Instagram password.

What's the best time to reply to an Instagram DM?

As fast as possible, ideally while the person is still in the app. See what is speed to lead.

Do I need GoHighLevel to automate Instagram DMs with ReplySetter?

Yes, ReplySetter connects Instagram, Facebook and WhatsApp through GoHighLevel on the Basic plan.
