How to Increase Appointment Show Rates: 12 Tactics That Work
Twelve concrete tactics to increase show rates on sales calls, consultations and appointments, from qualification and booking windows to reminder copy and pre-call content, with how to measure what's working.
Show rate is the share of booked appointments that actually happen. You increase it by booking people who genuinely want the call, keeping the gap short, getting active confirmation, reminding them at the right moments, and making it easy to reschedule instead of disappear.
My post on reducing no-shows covers the basics. This one is the longer list of tactics I've collected from setters and agencies, and from watching booking data in ReplySetter. Not all of them fit every business, so pick the ones that suit yours and measure.
How to measure show rate properly
Show rate = appointments attended ÷ appointments that should have happened
Count reschedules separately: a lead who moved their call isn't a no-show. Track show rate by:
- lead source (ad, organic, referral, reactivation),
- channel (DM, SMS, email, chat),
- setter or AI agent,
- time between booking and appointment,
- day and time of the appointment.
The 12 tactics
1. Qualify harder
The best predictor of showing up is wanting the outcome. If someone can't tell you their goal or timeline, they probably won't show. See how to qualify leads in DMs.
2. Have them say why they're booking
Ask: "What's the main thing you'd want to get out of the call?" People who've said it out loud are more committed, and the closer gets useful context.
3. Keep the booking window short
Offer times in the next one to three days. The longer the gap, the more life gets in the way.
4. Offer two times, not a calendar
"Tuesday at 2pm or Wednesday at 10am?" feels like an appointment with a person. A link to a calendar with 40 slots feels like nothing.
5. Confirm their timezone
Many no-shows are timezone confusion. State the time with the timezone, or in their local time.
6. Ask for an active confirmation
"Reply YES to confirm" turns a passive booking into a commitment.
7. Send a calendar invite
A real calendar event with the video link in it, so the call sits in their own calendar.
8. Remind on the channel they use
If they booked over Instagram DM or SMS, remind them there. Email reminders are easy to miss.
9. Use reminder copy that adds value
Not "Reminder: you have an appointment". Instead:
Hey Jess, looking forward to tomorrow at 3pm! [Closer] has already looked at what you sent about [their situation]. Here's the link: [link]
10. Make rescheduling the easy option
Every reminder should invite a reply if the time no longer works. A rescheduled call is far better than a silent no-show.
11. Send something to consume before the call
A short video, case study or testimonial from someone like them. It builds trust and gives them a reason to show up.
12. Follow up no-shows within minutes
Message them right away with two new times. No guilt.
Which tactics matter most?
If I had to pick three to start with:
- Qualify properly (tactic 1).
- Book soon and confirm actively (tactics 3 and 6).
- Recover no-shows immediately (tactic 12).
Those three alone fix most of the problems I see.
Using an AI setter to raise show rate
An AI setter helps with show rate in ways that are hard for busy humans to do consistently:
- It qualifies every lead the same way before offering times.
- It offers two specific near-term times and books directly in the chat.
- It states the timezone and sends the meeting link.
- It handles "can we move it?" by finding and booking a new time immediately.
- It follows up no-shows with new times as soon as the booking is marked missed.
In ReplySetter, booking events from Cal.com, Calendly, Google Calendar and Microsoft 365 flow back into the conversation, so the agent knows when someone booked on the page, cancelled or didn't show, and the calendar bookings report shows show rate per agent, calendar and flow step. That last part is what lets you see whether a change to the qualification step actually improved attendance.
You can also A/B test two versions of a booking step, for example "two times" versus "a booking link", and compare show rates, not just bookings.
Frequently asked questions
What's a good show rate?
It depends heavily on industry, price and lead source. Measure your own baseline, then aim to improve it month by month.
Do text reminders work better than email?
For most audiences, yes. Texts and DMs get read faster. Use the channel the person booked on.
Should I call people before their appointment?
For high-value appointments, a short confirmation call can help. For most sales calls, a text or DM reminder is enough.
Does booking further out hurt show rate?
Usually, yes. The longer the gap, the more likely plans or interest change.
How do I improve show rates for free consultations?
Qualify before booking, explain what they'll get from the call, keep the gap short and remind them on their preferred channel.
